- final reports need to be submitted
- the project is closed and budgets are finalised
Final reporting
Always check the sponsor’s terms and conditions to understand their reporting requirements.
Scientific and technical reports
The Principal Investigator is responsible for preparing and submitting all scientific, written and technical reports.
Financial reports
We’ll prepare and submit any financial reports and statements that are required.
If you have a UKRI and Innovate UK grant
UKRI has additional reporting requirements – including full transaction listings, staff listings and timesheets.
There are things you’ll need to do when we email your department about the UKRI financial expenditure statements.
Make sure all Task 89 costs are approved and transferred in the finance system. If there are any missing or incomplete timesheets, the costs will stay in Task 89 and cannot be claimed from the funder.
Departments will be charged for remaining costs in Task 89, including any estate and indirect costs.
You also need to complete your expenditure checks and provide us with all documentation within 6 weeks. We cannot extend this deadline.
Closing an award
The close date of an award is the end of the funded work.
You can spend funds until the close date. Any invoices you pay must be for purchase orders raised before the end date.
After the close date, we’ll do a final reconciliation to make sure all funds have been spent according to the terms of the award. We’ll then issue a final invoice and expenditure statement.
We’ll also check that all financial and scientific reports have been submitted to the sponsor.
Remaining funds
After the final reconciliation:
- if there’s an underspend, it will either be refunded to the sponsor or transferred to the department, depending on the terms and conditions
- if there’s an overspend, it will be charged to the department
